For plated dinners, a child’s menu of chicken strips with ranch dressing, macaroni and cheese and fruit is available for $9.50 per person (plus service charges and taxes). If you choose to have a buffet dinner, children’s prices will be discounted (depending on the menu).

Prices, Service Charges and Taxes: All of our prices are subject to change without notice. We guarantee our prices 90 days before an event. Severe market fluctuation will result in price adjustments from time to time. An 18% service charge will be added to all menu prices (20% at Kestrel Ridge). In addition, applicable state and county taxes will be added to the menu price, facilities fees and service charges.

Other Charges: Additional charges apply when your event is scheduled at certain locations:

These are mandatory fees set forth by each location. These fees will be added to your final bill. The fees are passed directly to the respective location. Additional charges may apply at other facilities.

For events outside the Madison area, there is an additional mileage charge of $1 per mile to and from your location. Additional staff travel charges may apply.

If early set up of tables with table covers, utensils and napkins is required, there will be a set up charge.

Final Guaranteed Numbers: We need an estimated number of guests at the time you reserve the date. We require your final guaranteed number one week before your event. Your guaranteed number can be increased but not lowered up to 72 hours before your event. After this time, no changes will be permitted. We are always prepared to serve 5% more than your guaranteed number of guests. If we serve more meals than what you guaranteed, we will bill you for a mutually agreed upon number of additional meals.

Extended Serving Times (not applicable at Kestrel Ridge): The 18% service charge includes four hours of service staff. The four hours includes setting of the tables, serving the meal and clearing the tables after the meal. We understand that events do not always go as scheduled. If our staff is delayed in serving dinner or you would like our service staff for a longer period, the additional charges will be $20 per hour per service staff. If you are delayed in serving dinner, and we are required to go beyond the four-hour service staff time, we will bill you for these additional charges. Buffet dinners are typically served for one hour.

PAYMENTS AND DEPOSITS
(Does not apply for Kestrel Ridge)

Reception and Class Reunion Deposits: We need a deposit of $500 to reserve your date for receptions and class reunions. The $500 deposit is welcome anytime but should be received in our office at least four months before your reception or class reunion. We will apply the deposit to your final bill. We will mail a contract confirming your menu and costs once you have decided your menu and we can confirm the price (within 90 days of the event). Your signed contract should be received in our office at least two months before your event.

Reception Cancellations: If you cancel your reception more than 90 days before the scheduled date, Gaylord Catering will refund $200 of your deposit. Your deposit is non refundable if your reception is cancelled less than 90 days before the scheduled event.

Payment for Receptions: All receptions must be paid in full two days before the date of your reception. Payments can be made by check, cash or credit card (MasterCard, VISA, American Express or Discover). We accept credit card payments only if the transaction is completed through our office.

Payment for Other Events: We will mail an invoice the day following your event and payment is due in ten days, unless you have made prior arrangements. Payments can be made by check, cash or credit card (MasterCard, VISA, American Express or Discover). We accept credit cards with prior approval and the transaction must be completed through our office.

Kestrel Ridge will bill you and it is your responsibility to pay Kestrel Ridge. Any necessary deposits should be made payable to Kestrel Ridge and will be at their discretion.

TABLEWARE AND DISHES
(Does not apply for ESC or Kestrel Ridge)

Tableware Service/Dishes: All of the menu prices include rigid disposable plastic table service. This includes a plastic plate, plastic salad plate, plastic coffee mug - all in a white and silver rimmed pattern - clear plastic water glass, paper napkin and silver plastic utensils. (A sample is on display at our office. You’ve got to see them to believe that they’re disposable!) We also provide linen tablecovers for all necessary tables. If you want to rent white linen napkins, they are available at an additional $ .50 per person. Also included is linen skirting for the head table, cake table, gift table, punch table and hors d’oeuvres table if necessary. Additional linen tablecovers are available for a charge of $4 per table.

We also have a large inventory of china dishes. If you wish to rent china dishes from Gaylord Catering Service, the additional charge is $2.50 per person. The china rental includes dinner plates, cups and saucers, stainless steel flatware and white linen tablecovers and napkins. We will use disposable salad plates, cake plates, and water glasses. A sample of our china is on display at our office. We fold the linen napkins in a triangular fold. If you purchase personalized napkins, we will use them according to your instructions.

When your event is at Kestrel Ridge or ESC, the price includes use of china dishes, and stainless steel flatware. For events at ESC, the price includes white linen tablecovers and napkins. Kestrel Ridge has a charge for linen service. Please inquire with them on the additional costs.

Alcoholic Beverages: If your location does not provide alcoholic beverages, please call Gaylord Catering Service for further assistance.

Food Allergies: All food is prepared in a commercial kitchen that handles nuts, shellfish and raw eggs regularly. If food allergies exist, you are responsible for making alternative eating arrangements.

Other services: We are a full service caterer. Our prices on this menu include service staff to set the tables, clear the dishes, and to provide coffee and milk. For receptions, we will cut your wedding cake at no additional charge and provide a bride’s knife set for your use that day. We will serve your guests wedding cake if you choose a sit down dinner. It is your responsibility to package the remaining cake. We are not responsible for any table or chair arranging or dining room lay out. That is your responsibility or that of the hall.
